Missing or messy paperwork is one of the most common reasons carriers get paid late. A load is not finished when the truck unloads; it is finished when the documents are complete and the invoice is out. A simple system fixes most of the problem.
Know what each document does
- Rate confirmation: the agreement with the broker. It sets the rate, the pickup and delivery details and the terms for accessorials. Check it before the truck is dispatched.
- Bill of lading (BOL): issued at pickup. It describes the freight and is signed by the shipper and driver.
- Proof of delivery (POD): usually the BOL signed by the receiver at delivery. Note any shortages, damage or exceptions on it.
One record per load
Create one folder or TMS record for every load, named the same way every time. A pattern like LoadNumber_PickupDate_Broker makes any load easy to find months later. Inside it keep the rate confirmation, BOL, POD and any receipts, also named consistently.
Capture documents at the moment they exist
- Save the rate confirmation the moment it is signed.
- Ask drivers to photograph or scan the BOL at pickup and the POD at delivery, before they leave the dock.
- Use a scanning app that produces clear, flat, readable PDFs. Blurry photos are a common reason invoices get rejected.
Check before you invoice
Before sending an invoice, run a quick check:
- Do the load number and reference numbers match across all documents?
- Is the POD signed, dated and readable?
- Are any shortages, damages or exceptions noted, and has the broker been told?
- Are accessorials supported by receipts and time records?
Track status, not just files
Give every load a status: booked, in transit, delivered, documents complete, invoiced, paid. A daily look at loads stuck at "delivered" shows exactly which paperwork is missing.
Keep records for the long run
Keep load records organized and backed up after payment. They are your answer to disputes, audits and questions from brokers or factoring companies long after the load is forgotten.
